LESSON 5 OF 11

Coverage Routing and Claim Ownership

YOU WILL BE ABLE TO
  • Map each affected assembly to its coverage document and claim administrator.
  • Separate primary failure costs from consequential damage costs.
  • Communicate confirmed coverage routes and unresolved responsibility without promising reimbursement.
TOOLS AT THE BAY
  • Flashlight — Illuminate assembly identification markings and visible damage so the coverage inquiry identifies the correct component.
  • Inspection mirror — Read identification markings and inspect obscured areas without unnecessary disassembly.
  • Shop camera — Record component identification, the apparent failure location, and related damage for the claim file.
  • Shop computer — Review current coverage documents, check recall and campaign applicability, and record claim ownership decisions.

A trailer may have separate coverage paths for its structure, axles, brakes, tires, coupler, and hydraulic power unit. The selling dealer, trailer manufacturer, component supplier, and service-contract administrator are not automatically interchangeable claim authorities.

Build a coverage map linking each affected assembly to its actual coverage document and claim administrator. Check coverage eligibility, transfer provisions, service requirements, and authorized servicing arrangements against the current terms rather than assuming every component follows the trailer warranty.

Separate the assembly that failed from any assembly damaged as a consequence. For example, a seized bearing and a damaged spindle may require a related claim, but responsibility for consequential damage must be confirmed rather than inferred from acceptance of the bearing failure.

Check whether the complaint relates to an open recall, service campaign, or technical service bulletin. A bulletin provides technical information and does not by itself establish warranty coverage; a recall or campaign has its own applicability and remedy instructions.

Classify each requested action as warranty, recall or campaign, service contract, customer-pay, or a pending goodwill request. Goodwill is discretionary assistance, not proof of a warrantable defect, and reimbursement must not be promised while responsibility remains unresolved.

How It Works

Coverage follows the assembly and its governing terms

A trailer can have separate coverage paths for its structure, axles, brakes, tires, coupler, and hydraulic power unit; the selling dealer is not automatically the claim authority for every concern. Build a coverage map that links each affected assembly to its applicable document and administrator, then verify eligibility, transfer provisions, service requirements, and authorized servicing arrangements against current terms.

Failure causation and payment responsibility are different questions

A seized bearing can generate heat and damage the spindle, but a physical connection between failures does not establish who must pay for the resulting damage. Record the primary failure and consequential damage separately, and confirm responsibility for each expense rather than treating acceptance of the bearing failure as acceptance of the entire repair. Resolve overlapping responsibility without submitting the same expense twice.

Technical guidance is not coverage authorization

A technical service bulletin provides technical information but does not independently establish warranty coverage; recalls and service campaigns have their own applicability and remedy instructions. Classify requested work as warranty, recall or campaign, service contract, customer-pay, or pending goodwill. Goodwill is discretionary assistance, so tell the service advisor what remains unresolved and do not promise reimbursement.

The entire repair is being routed through the trailer manufacturer even though several assemblies are involved.List the affected assemblies and match each to its actual coverage document and claim administrator; verify eligibility, transfer provisions, service requirements, and servicing authorization.Separate assemblies may have separate coverage paths; claim authorities are not automatically interchangeable. The trailer warranty has been assumed to govern every installed component.

A bearing claim is accepted, and spindle replacement is being described as covered.Separate the bearing failure from spindle damage, itemize their costs, and confirm whether the responsible administrator accepts consequential damage.Acceptance of the primary failure does not establish responsibility for consequential damage.Related damage has been treated as automatically included in the accepted claim.
Basis: General shop practice (not from a downloaded manual)
A matching bulletin is being used to promise a covered repair.Determine whether the document is a bulletin, recall, or campaign; check applicability and the governing coverage or remedy instructions.A bulletin does not by itself establish warranty coverage; a recall or campaign has its own applicability and remedy instructions.Technical repair guidance has been confused with coverage authorization.
Basis: General shop practice (not from a downloaded manual)
Overlapping administrators are being asked to pay the same expense while goodwill remains pending.Reconcile the requested expenses, resolve claim ownership, and identify pending decisions for the service advisor before communicating reimbursement expectations.Do not submit the same expense twice or promise reimbursement while responsibility remains unresolved.Unresolved responsibility and discretionary assistance have been treated as confirmed payment commitments.

Common Bay Mistakes

  • ✕ Treating the selling dealer as the authority for every claim.
  • ✕ Assuming accepted primary damage includes consequential damage.
  • ✕ Using a technical bulletin as proof of warranty coverage.
  • ✕ Promising payment from a pending goodwill request.

Quick Check

Practice only — not scored.

A component administrator accepts a seized bearing failure. What should happen before spindle damage is represented as covered?
A bulletin matches the complaint, but coverage responsibility and a goodwill request remain unresolved. What should the technician report?
The bay reports: The entire repair is being routed through the trailer manufacturer even though several assemblies are involved. Which check addresses this condition?
